Client Onboarding & Service Engagement Policy

ZCoders follows a structured onboarding process to understand client requirements, define project scope, establish communication, and ensure the successful delivery of software development and technology services.

This policy outlines the general requirements and procedures applicable to clients engaging ZCoders for software, web, mobile, design, consulting, maintenance, and other technology-related services.

Client Eligibility

ZCoders may provide services to individuals, startups, businesses, organizations, and other legally permitted entities.

Clients must:

  • Provide accurate and complete information relevant to the project.

  • Have the necessary authority to enter into an agreement for the requested services.

  • Ensure that the requested project or service is lawful.

  • Have the necessary rights and permissions for any content, software, data, trademarks, images, or other materials provided to ZCoders.

  • Cooperate reasonably with ZCoders throughout the project.

ZCoders reserves the right to decline or discontinue an engagement where a proposed project involves unlawful, fraudulent, abusive, or otherwise prohibited activities.

Information Required During Onboarding

Depending on the nature of the project, ZCoders may request information such as:

  • Client or company name

  • Contact person’s name and contact information

  • Business or project information

  • Project objectives and requirements

  • Technical specifications and integrations

  • Existing website, application, or software details

  • Branding materials, content, images, and other project assets

  • Relevant hosting, domain, API, or third-party service information

  • Billing and invoicing information

The specific information required will depend on the scope and nature of the services being provided.

Project Discovery

Before beginning development, ZCoders may conduct a discovery and requirement-gathering process to understand:

  • Business objectives

  • Functional requirements

  • Design expectations

  • Technical requirements

  • Required integrations

  • Project timelines

  • Deliverables and milestones

  • Budget and commercial requirements

The information gathered during this stage may be used to prepare a proposal, quotation, statement of work, or project plan.

Proposal and Scope of Work

Where applicable, ZCoders will provide a written proposal, quotation, or statement of work describing the agreed services.

Depending on the project, the document may include:

Technical Access and Credentials

For projects involving existing systems, websites, applications, hosting environments, APIs, databases, or third-party platforms, the client may need to provide appropriate access credentials.

Clients are responsible for ensuring that they have the legal authority to provide such access.

ZCoders will make reasonable efforts to protect credentials and access information provided for project purposes.

Clients should not provide unnecessary access or credentials unrelated to the project.

Where possible, appropriate access controls, temporary credentials, role-based permissions, or other security measures should be used.

Third-Party Integrations

Projects may require integration with third-party services, including:

  • Payment gateways

  • Cloud platforms

  • Hosting services

  • APIs

  • CRM systems

  • Analytics platforms

  • Email or communication services

  • Software libraries and plugins

  • Other external platforms

Clients are responsible for maintaining valid accounts, subscriptions, licenses, and permissions required for third-party services unless otherwise agreed.

ZCoders is not responsible for changes, interruptions, limitations, pricing, or discontinuation of third-party services.

Client Responsibilities

Clients are expected to:

  • Provide accurate project requirements.

  • Provide required content, assets, credentials, and information in a timely manner.

  • Review submitted work and provide feedback within reasonable timeframes.

  • Provide approvals necessary for project progression.

  • Maintain access to third-party accounts where required.

  • Ensure that supplied content and materials are legally authorized for use.

  • Communicate material changes to project requirements as early as reasonably possible.

Delays in providing required information, approvals, or access may affect the project timeline.

Project Timeline

Project timelines will depend on the scope, complexity, availability of required resources, client responsiveness, and third-party dependencies.

Any timeline provided by ZCoders is an estimate unless a specific delivery date has been expressly agreed upon in writing.

Changes in scope, delayed feedback, technical dependencies, or circumstances outside ZCoders’ reasonable control may result in changes to the estimated timeline.

Payment and Commercial Terms

Payment terms will be specified in the applicable proposal, quotation, invoice, contract, or statement of work.

Depending on the project, ZCoders may require:

  • An upfront deposit

  • Milestone-based payments

  • Monthly payments

  • Payment upon completion

  • Recurring fees for maintenance, hosting, or support

Failure to make payments according to the agreed terms may result in suspension or delay of project work.

Scope Changes

Any request that changes the agreed requirements, functionality, design, integrations, or deliverables may be treated as a scope change.

Scope changes may result in:

  • Additional development costs

  • Additional third-party costs

ZCoders will communicate material scope changes and associated costs where reasonably practicable before proceeding.

Quality Assurance and Approval

ZCoders may conduct testing and quality assurance before delivering software, websites, applications, or other digital products.

Clients are expected to review deliverables and communicate any material issues or deviations from the agreed requirements within a reasonable period.

Issues that fall within the agreed project scope may be addressed in accordance with the applicable agreement.

New features or changes to approved requirements may be treated as additional work.

Maintenance and Support

Ongoing maintenance, updates, technical support, monitoring, security updates, and other post-launch services may be provided where included in the applicable agreement.

Unless expressly included in a service agreement, ongoing maintenance or support is not automatically included after project delivery.

Suspension or Termination

ZCoders may suspend or terminate a service engagement where:

  • The client materially breaches the applicable agreement or these policies.

  • Required payments remain outstanding.

  • The project involves unlawful, fraudulent, or prohibited activity.

  • The client repeatedly fails to provide information, approvals, or access necessary for the project.

  • Continued engagement creates a significant security, legal, or operational risk.

  • A third-party service or legal requirement prevents the project from continuing.

Where appropriate, ZCoders may provide notice before suspension or termination.

Any outstanding fees for work already completed or expenses already incurred may remain payable.
