ZCoders is committed to providing reliable, professional, and customer-focused technology services. This policy explains the terms and procedures applicable to service cancellations, refunds, project disputes, complaints, and resolution of issues related to services provided by ZCoders.
Clients may request cancellation of a project or service by contacting ZCoders through the official communication channels.
Cancellation requests will be reviewed based on the stage of the project, work already completed, resources committed, and the terms agreed upon in the applicable proposal, quotation, contract, or statement of work.
Where a project has already commenced, cancellation may not entitle the client to a full refund.
Any completed work, third-party expenses, development time, or other non-recoverable costs may be deducted from an applicable refund.
A refund may be considered in circumstances including:
ZCoders is unable to deliver the agreed service due to circumstances within its reasonable control.
A service has not been commenced and the applicable agreement permits cancellation.
A duplicate or incorrect payment has been made due to an administrative or technical error.
A mutually agreed project cancellation qualifies for a refund under the applicable agreement.
A material failure to deliver agreed project requirements occurs and cannot reasonably be resolved within an agreed remediation period.
Refund eligibility will be determined based on the specific project agreement, scope of work, payment terms, and circumstances of the request.
Refunds may not be available in circumstances including:
Change of mind after work has commenced.
Failure to provide required project information, content, approvals, credentials, or feedback.
Delays caused by the client or by failure to meet agreed client responsibilities.
Work that has already been completed and approved by the client.
Features, revisions, or services outside the originally agreed scope.
Third-party fees or expenses that have already been incurred and cannot be recovered.
Domain names, hosting, licenses, subscriptions, software, APIs, or other third-party services purchased specifically for the client.
Dissatisfaction resulting from requirements or specifications that were not communicated to ZCoders before or during the project.
Any work that has been delivered in accordance with the agreed specifications.
Where a project is divided into milestones, payments made for completed or approved milestones are generally non-refundable once the corresponding work has been delivered.
Advance payments may be used to allocate development resources, initiate project work, purchase required services, or reserve project capacity.
Any refund of an advance payment will be determined according to the applicable agreement and the amount of work or expenses already incurred.
If a delivered product or feature does not materially conform to the agreed specifications, the client should notify ZCoders within a reasonable period after delivery.
Where the issue is covered by the agreed scope, ZCoders will make reasonable efforts to correct the issue.
Requests for new functionality, significant design changes, additional integrations, or changes to previously approved requirements may be treated as additional work and may incur additional charges.
For websites, software, mobile applications, and other digital products, clients should review and approve deliverables during the agreed development and testing process.
Once a deliverable has been approved or deployed following client approval, subsequent changes may be considered new work unless they relate to a defect or failure to meet the agreed specifications.
Projects may depend on third-party services such as:
Hosting providers
Domain registrars
Cloud platforms
Payment providers
APIs
Software licenses
Plugins
External integrations
Other third-party technologies
ZCoders cannot guarantee refunds for third-party products or services where the applicable provider’s own refund policy does not permit a refund.
Any third-party charges incurred on behalf of a client may be payable by the client regardless of whether the project is subsequently cancelled.
Clients are encouraged to contact ZCoders as soon as possible if they experience an issue with a service or project.
A complaint should include, where applicable:
Full name
Company or business name
Project or service name
Relevant invoice, proposal, or project reference
Description of the issue
Date the issue occurred
Supporting screenshots, documents, or other relevant information
Complaints may be submitted through the official contact information provided on the ZCoders website.
After receiving a complaint, ZCoders may:
Review the relevant project documentation and communications.
Assess the agreed scope and deliverables.
Review the work completed to date.
Request additional information from the client where necessary.
Identify whether the issue is covered by the agreed scope.
Propose an appropriate resolution, which may include correction, additional clarification, partial service adjustment, or refund where applicable.
ZCoders will make reasonable efforts to respond to complaints promptly.
Complex matters involving technical investigation, third-party services, or contractual review may require additional time.
If a client believes that a payment has been made fraudulently or without authorization, the client should contact ZCoders immediately.
Where applicable, the client should also contact their bank, card issuer, payment provider, or other relevant financial institution.
ZCoders may request reasonable information necessary to investigate a suspected fraudulent or unauthorized payment.
Where a refund has been approved, it will generally be processed using the original payment method where reasonably possible.
The time required for the funds to appear in the client’s account may depend on the payment provider, bank, card issuer, or other financial institution.
Any applicable third-party processing charges or non-refundable costs may be deducted where permitted by the applicable agreement and law.
ZCoders encourages clients to resolve disputes directly through communication with our support or management team.
Where a dispute relates to a specific project, the parties should first review the applicable proposal, quotation, contract, statement of work, invoices, and agreed project requirements.
ZCoders will make reasonable efforts to resolve disputes fairly and professionally.

Losses resulting from the client’s failure to maintain required backups or security practices where such responsibility has not been assigned to ZCoders.
This policy should be read together with the applicable proposal, quotation, service agreement, statement of work, invoice, and other contractual documents.
Where a specific written agreement contains different refund or cancellation terms, the terms of that agreement will apply to the relevant project to the extent permitted by applicable law.
